1. Scope
This Privacy Policy explains how A Mother's Care Financial Group ("A Mother's Care," "we," "us," or "our") collects, uses, discloses, and protects personal information through amomscareins.com, our HighLevel-powered forms and calendars, and related insurance-service communications and workflows.
This policy applies to information handled by A Mother's Care and participating agents through the shared systems described below. A third-party website, carrier, enrollment platform, or other service may have its own privacy policy when a person leaves our website or uses that service.
This website policy describes our current website and service practices. It does not replace any separate privacy notice that may be required under federal or state insurance, financial-privacy, Medicare, Medicaid, or Marketplace rules.

A Mother's Care uses SiteFlex, formerly known as Webit, for website hosting and support. HighLevel/LeadConnector provides the forms, calendars, customer relationship management, communications, telephony, and workflow platform used for customer operations.
3. Information We Collect
Depending on the service requested, we may collect:
- Identity and contact information, such as name, postal address, email address, telephone number, and authorized-representative status.
- Appointment and service information, such as the requested meeting type, selected insurance topics, dates, and assigned agent.
- Insurance, health-related, and eligibility information voluntarily provided for Medicare, Medicaid-related assistance, Marketplace/ACA, life, annuity, dental, vision, supplemental, or related services.
- Consent and transaction evidence, such as checkbox selections, electronic signatures, timestamps, form version, source, delivery status, and submission reference.
- Communications with the assigned agent or authorized administrators, including email, telephone, and direct one-to-one text conversations.
- Technical information from website use, such as IP address, browser and device information, pages viewed, cookies, and analytics events.
Please do not submit information that a form does not request or that is not reasonably necessary for the service.
4. How We Collect Information
We may collect information directly from a person who completes a form, schedules an appointment, calls, emails, texts, meets with an agent, or otherwise requests assistance. We may also receive information from an authorized representative, an assigned agent, an insurance carrier, an enrollment platform, a referral source, or another party as permitted by the person or by law.
5. How We Use Information
We may use personal information to:
- Respond to requests and provide the insurance-related services requested.
- Schedule appointments and route a record to the correct agent without exposing it to unrelated agents.
- Maintain customer and opportunity histories, reduce duplicate records, and resolve ownership conflicts.
- Communicate by telephone, email, or direct one-to-one text when permitted.
- Create and deliver approved customer copies of Medicare Scope of Appointment and life-insurance forms.
- Maintain consent, delivery, audit, security, and compliance records.
- Protect systems, investigate misuse, troubleshoot, and support authorized users.
- Operate and improve our website and services, including analytics where permitted.
A Medicare Scope of Appointment does not obligate a person to enroll, change existing coverage, or purchase a product.
6. How We Disclose Information
We may disclose personal information as reasonably necessary for the purposes described in this policy, including to:
- The assigned independent agent and authorized A Mother's Care administrators under the access model described below.
- Service providers supporting the website and related website functions, including SiteFlex/Webit, and service providers supporting CRM, forms, calendars, communications, telephony, workflows, and document delivery, including HighLevel/LeadConnector.
- Insurance carriers, enrollment platforms, government or Marketplace systems, and other parties when a person directs or authorizes an application, quote, eligibility review, or enrollment-related service.
- Regulators, courts, law enforcement, or other parties when required by law or reasonably necessary to protect rights, safety, or system integrity.
- A successor in a merger, reorganization, financing, or transfer, subject to applicable law and appropriate safeguards.
7. No Sale of Personal Information
A Mother's Care does not sell or rent personal information, including insurance, health-related, or eligibility information. We disclose information to service providers and other parties only for the service, operational, legal, and administrative purposes described in this policy. We do not authorize recipients to use mobile opt-in information or text-message consent for their own marketing or promotional purposes.
8. Sensitive Insurance and Health-Related Information
Some forms may contain insurance, health-related, identity, eligibility, or signature information. We limit collection to information reasonably needed for the applicable service, restrict access by role and assignment, and use administrative and technical safeguards appropriate to the information.
Nothing in this policy represents that A Mother's Care or every participating agent is a HIPAA covered entity. Any duties that apply under federal or state health-information, insurance, privacy, or security law remain governed by the applicable law and agreements.
9. Shared System and Independent Agents
Agents operate independently while using a shared A Mother's Care HighLevel system. Customer records are assigned to the applicable agent. Unrelated agents are not intended to receive access to another agent's assigned records. Authorized A Mother's Care administrators may access records when reasonably needed for routing conflicts, technical support, security, audits, compliance, and other approved administrative functions.
10. Communications and Text Messaging
Telephone numbers are collected because agents may need to communicate directly with customers. Current texting is intended primarily for direct, manually conducted, one-to-one conversations with the assigned agent. Consent to receive text messages is separate from permission to use information for an insurance or Marketplace request and is not a condition of purchasing goods or services. Any online text-consent choice must be optional, unselected by default, and unnecessary to submit the form or request service.
When a person consents to text messages, message frequency varies and message and data rates may apply. Consent may be withdrawn at any time by replying STOP to a text message or by contacting us using the information below. Reply HELP for assistance. We will honor applicable opt-out and do-not-contact requests. Mobile opt-in information and consent records are not sold or shared with third parties or affiliates for their marketing or promotional purposes.
If A Mother's Care later introduces automated or marketing text messages, the applicable form or communication will provide any additional disclosure and consent requested by law or platform requirements before those messages are sent.
Any SMS text messaging used by A Mother's Care is provided by a separate third-party service and is not provided through SiteFlex.com (formerly Webit.com). A Mother's Care is solely responsible for selecting and using that third-party provider and for SMS communications sent through it on A Mother's Care's behalf. Under the current service arrangement, SiteFlex.com does not offer or provide text messaging for A Mother's Care and will not do so. SiteFlex.com is not responsible for SMS communications sent through A Mother's Care's separate third-party provider.
11. Customer Copies and Electronic Signatures
A Mother's Care may provide customers with a complete copy of a submitted Medicare Scope of Appointment or life-insurance form. Because a completed form may contain insurance, health-related, identity, or signature information, the delivery process may include reasonable identity, destination, and security checks. We may retain a record of the sending and delivery outcome.
Electronic signatures and checkbox selections are used as evidence of the customer's action. Signatures are not automatically applied by the system. Agent information may be prefilled separately.
12. Cookies, Analytics, and Website Providers
The website currently uses or may load cookies and similar technologies from SiteFlex/Webit, Google Analytics or Google Tag Manager, and UserWay to operate, secure, measure, and improve the site. SiteFlex has been asked to implement a reviewed cookie notice and consent mechanism, including pre-consent control of nonessential analytics where required. Until those controls are verified, visitors may use browser settings to limit or remove cookies.
13. Retention and Deletion
We retain personal information for periods reasonably related to the requested service, the customer relationship, legal and regulatory obligations, dispute resolution, security, audits, and compliance. Retention periods vary by record type and applicable requirements. Questions about a particular record or a request to delete information may be sent to the contact below and will be evaluated under applicable law and the agency's operational requirements.
14. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. Depending on the system and record, these safeguards may include assignment-based access, administrator controls, audit records, and service-provider controls. No method of transmission or storage is completely secure. Suspected unauthorized access should be reported promptly using the contact information below.
15. Privacy Choices and Requests
Subject to applicable law, a person may request access to, correction of, or deletion of certain personal information, or information about certain uses or disclosures. Requests may be sent to info@amomscareins.com. We will take reasonable steps to verify a request before disclosing or changing records and may retain information when required or permitted by law.
A person may also ask to stop particular communications or update communication preferences. A request will not affect processing already completed before the request was received where applicable.
16. Children and Authorized Representatives
Our services are not directed to children for independent purchase or enrollment in insurance products. Information about a dependent may be collected from a parent, guardian, or other authorized representative when reasonably necessary for an insurance or benefits request. We may request information needed to confirm authority before acting on a representative's request.
17. Third-Party Links
The website may link to Medicare.gov, Marketplace or enrollment services, RetireFlo, PlanEnroll, insurance carriers, quote tools, and other third-party services. Their privacy practices apply when a visitor leaves the A Mother's Care website or submits information directly to them.
18. Changes to This Policy
We may update this policy when our practices or legal obligations change. The current version will identify its effective or last-updated date. When appropriate, we will provide additional notice of material changes. We retain point-in-time copies when needed for audit, consent, or compliance purposes.
